The receptionist greets and welcomes visitors. Receives callers at establishment, determines nature of business, and routes calls appropriately. The receptionist will also provide general office support with a variety of clerical activities and related tasks.
Essential Functions and Responsibilities:
Answers and correctly route calls promptly to appropriate personnel or department. Transfers calls to voice mail when appropriate personnel are unavailable.
Retrieves messages from email (general mailbox) and forwards to appropriate personnel.
Email the Chef’s Table regarding guest certificates.
Answers questions about organization and provide callers with address, directions, and other information.
Greets on-site visitors, determines nature of business, announces visitors to appropriate personnel. Notify employees of their deliveries (lunch, packages, etc.).
Orders lunch for events, weekly meetings, and other special company activities.
Monitors visitor access, issues visitor cards, and validates parking.
Assists users send faxes and retrieves and routes incoming faxes.
Logs in all incoming packages, notify appropriate personnel of incoming packages, and handles outgoing packages.
Creates shipping labels.
Orders and maintains all office supplies.
Maintains reception area, large conference room, training room and kitchen areas.
Pick up, sort, stamp, and file mail in designated mail cart.
Update licenses in license portal to be mailed to the restaurants upon receipt.
Create payment request forms for invoices and license renewals and files copies in restaurant files.
Updates and posts Birthday list. Orders cakes for monthly birthday celebration.
Must be able to multi task.
Excellent verbal and written communication skills.
Basic computer experience to include Outlook, Excel, and Word.
Knowledge of office methods, practices, and procedures.
Ability to perform routine clerical work and other projects assigned and complete these projects within given timelines.
Must maintain a professional appearance to represent the organization’s image.
High School Diploma
Minimum 1-2 years receptionist experience.
